Flip Japan Guide Booking Terms & Conditions

Here at Flip Japan Guide, we have established the following General Terms and Conditions of Use for your protection and ours. By booking a trip, tour and/or service, you agree to comply with these terms. As these terms are subject to change without prior notice, we encourage you to visit these Terms and Conditions.

1. Deposits & Payments

For entire trip planning, a deposit of 50% of the total cost of the itinerary is required to confirm the reservation. A reservation is only considered confirmed once the deposit is received. Final payment is due at least 30 days before the departure date.

For itinerary planning and tour booking, 100% of the total cost is required.

2. Cancellation Policy

If you or any party member decides to cancel your confirmed arrangements or any part of te trip, you must notify Flip Japan Guide in writing.

Cancellation charges will be as follows:

  •  ●  51 days or more: – 20% of the total cost
     
    ●  50 days to 30 days: – 50% of the total cost
  •  
    ●  Less than 30 days: – 100% of the total cost

You will always be given the option to reschedule for a future date, provided availability.
 

 3. Restaurant, Activities, Tours, Experiences Reservations and Cancellations

Once the guest confirms the itinerary for their trip, including activities, tours, restaurants, and other experiences, reservations will be made accordingly. However, any modifications or cancellations made before or during the trip may incur penalties of up to 100% of the total cost. Flip Japan Guide will communicate these strict cancellation fees before booking. To avoid additional fees, it’s important to carefully review the information provided to you before confirming. If you need to make any changes, please immediately notify Flip Japan Guide. If you wish to make changes during the trip, please notify Flip Japan Guide.

4. Travel Insurance

We strongly recommend that you purchase personal travel insurance with protection for the full duration of the tour in respect of at least medical expenses, injury, death, repatriation, cancellation, and curtailment, with adequate and appropriate cover, including medical emergency repatriation.

If you make your own arrangements, you should ensure that there are no exclusion clauses limiting or excluding protection for the type of activities included in your tour. You must ensure that all travel insurance purchased meets your particular requirements, and you should arrange supplementary insurance if need be.

5. Liability

We take all reasonable steps to ensure that the partners, guides, hosts, service providers, etc., maintain standards and provide an acceptable service to the guests. Flip Japan Guide shall have no liability for loss, theft of, or damage to baggage or personal effects of the guests. Flip Japan Guide cannot be held liable without fault from the company, supplier, or agents. Flip Japan Guide also cannot be liable where the failures in performance of the contract are attributable to the customer; where the failures are attributable to a third party not connected with the provision of the holiday and is unforeseeable or unavoidable; or in situations where the failures are due to unusual and unforeseeable circumstances beyond your control.

6. Passports, Visas, Entry Requirements

While we can provide basic advice to travelers regarding passports and visa requirements, you are responsible for arranging and must have a valid, acceptable passport and any visas and vaccination certificates required for your entire journey.

Any information we give about these matters or related items (climate, clothing, baggage, personal gear, etc.) is given in good faith but without responsibility on our part. We regret we cannot accept any liability if you are refused entry onto any transport due to failure to carry all required documentation. If your failure to have any necessary travel or other documents results in fines, surcharges, or other financial penalties imposed on us, you will be responsible for reimbursing us accordingly.

7. Medical Requirements

Good physical and mental health are essential for enjoying these active outdoor trips. All travelers are expected to satisfy themselves prior to booking that they are fit and able to complete the itinerary of their chosen tour as described in the brochure/website. Good physical conditioning is recommended as preparation for all trips.

Any participant with a medical condition requiring regular treatment or who may be affected by vigorous activity, high altitude, heat, cold, other natural phenomena, or particular foods must notify Flip Japan Guide in writing before travel.

8. Tour Participation and Client Responsibility

You agree to accept the authority and decisions of trip planners, tour leaders, and guides. If in the opinion of any such person(s) or any other person in a position of authority (such as, for example, a guest house/hotel manager or a coach driver/escort ), your health, level of fitness, or conduct at any time before or during a tour is endangering or appears likely to endanger your health or wellbeing or any third party (including any other clients of the Company) or the safe, comfortable or happy progress of the tour, you may be excluded from all or part of the tour without refund or recompense. In the case of ill health, we may make such arrangements and recover your costs. If you commit an illegal act (including, for example, causing any damage), you may be excluded from the tour, and we shall cease to have the responsibility to/for you as above. No refund will be given for any unused services.

9. Applicable Law

Japan governs these Terms & Conditions. All transactions are subject to 10% Japanese tax.

10. Itinerary Changes

Although every effort is made to adjust schedules and itineraries, Flip Japan Guide reserves the right to alter routes, change the itinerary, and modify travel plans or accommodations arrangements. Hotel overbookings, airline delays, schedule changes, or other unforeseen challenges may bring about such conditions. Flip Japan Guide shall not be held responsible for such itinerary changes. Suppose a client initiates a last-minute change to the tour itinerary, including accommodations, flights, services, etc. In that case, the client shall pay any additional expenses incurred due to such change.

11. Airfare, Train, and Ferry Delays
Airlines, trains, and boat schedules are subject to fluctuate without notice prior to ticketing. Flip Japan Guide is not responsible for schedule or departure time changes, cancellations, overbooking, or damage or loss of baggage and property.

Any and all claims for any loss, damage, or injury suffered on any airline must be made directly with the supplier involved. Schedule changes may necessitate additional nights being added to your tour. These schedule changes are beyond the control of Flip Japan Guide, and any resulting additional costs shall be the guest’s sole responsibility. Flip Japan Guide shall not be held liable for delays or additional costs incurred due to airlines not running to schedule.

12. Borrowed & Rental Items

For borrowed or rented items, such as Pocket Wifi, bicycles, equipment, etc., guests are responsible for returning them as instructed, within the rental period, in the condition and location that the items have been rented, unless instructed otherwise. In the case of damages, missing items, or loss, the guests are responsible for covering any costs.

13. Overdue Payment and Extra Payment

In the event of a late payment, the customer may be liable for an additional charge as a penalty for the delay. The extra payment shall be calculated based on the outstanding amount and accrue on a daily basis until the overdue balance is settled in full. The rate of the extra payment will be determined by Flip Japan Guide. It is the customer’s responsibility to ensure timely settlement of invoices and bills to avoid incurring such additional charges. Flip Japan Guide reserves the right to impose reasonable interest rates or penalty fees for any outstanding balances to maintain fair and equitable financial practices.

14. Entire Agreement

This contract supersedes any and all other agreements, either oral or in writing, between the parties with respect to the subject of this contract. This contract contains all of the covenants and arrangements between the parties with respect to the subject of this contract, and each party acknowledges that no representation, inducements, promises, or agreements have been made by or on behalf of any party except the covenants and agreements embodied in this contract. No agreement, statement, or promise not contained in this contract shall be valid or binding between the parties with respect to the subject of this contract.
