1. We start with a chat to understand your travel goals.

Everything starts with a conversation. Depending on what works best for you, that is either a short questionnaire or a twenty to thirty minute discovery call. We use that time to get a proper picture of your travel dates, what you are hoping to see, and anything specific we need to know before we start building your plan. Getting this right at the start saves a lot of back and forth later.
We cover the practical stuff too, like your budget, how many people are travelling, and any hotel preferences you have. We will ask about your travel style, any food restrictions, and what you are most looking forward to, whether that is history, food, nature, or going out at night. That last one matters more than people think. Someone who wants to explore Tokyo’s nightlife needs a very different plan to someone who wants to spend their evenings in a quiet ryokan.
We also sort out the logistics at this stage, like airport transfers and how you want to get around. One of the bigger questions we ask is how you feel about crowds. Some people come to Japan specifically to see the famous spots they have been looking at online for years, and that is completely valid. Others would rather avoid the queues and see something a bit less photographed. 2. We send you a first look at your custom trip outline.

We do not leave you waiting around after that first conversation. Within one to two business days, we send over a preliminary quote and a basic outline of your trip. This is not the finished product by any means. Think of it as a rough sketch of where you will go and how your days will be paced.
We do this quickly on purpose. It is the fastest way to check that we actually understood what you told us, and to make sure we are heading in the right direction before we start putting serious time into the details. If something looks off, it is much better to catch it now.
The outline covers the destinations we have in mind and gives you a feel for the daily rhythm of the trip. Pacing is something a lot of people do not think about until they are actually there and exhausted. Some travellers want a packed schedule with something to do at every hour. Others want slow mornings and room to wander. If the draft feels too rushed or too relaxed, this is the moment to say so. It is not a final plan, so do not expect every booking and detail just yet, but it gives you a genuine sense of what your trip could look like.
3. We collect a deposit so we can start the heavy work.

Once you are happy with the rough outline, we move into the actual planning phase. For group trips, we ask for a $500 planning deposit to get started. This is not an extra charge on top of everything else. It comes off your final trip total at the end. That said, you should note that it is non-refundable because by this point, our team is already on the phone with local partners, checking availability, and digging into all the small details that make your plan work properly. That takes real hours from real people.
If you are an individual traveller, we use a platform called Elsewhere to manage your booking. Elsewhere is a trusted site that helps us handle payments and keeps your trip details in one place. We collect a $100 crafting fee through that site to begin the detailed work. This fee shows us that you are committed to the trip before we put serious time and local knowledge into building your schedule.
There is one more thing worth knowing before we get started. We have what we call service minimums, which just means the total value of what we book for you, such as your accommodation, transport, and guided tours, needs to reach a certain level for us to take the project on. Because we are a small boutique team and not a giant automated website, we put a lot of manual effort into every person we work with. To make sure we can give you the high level of support and local expertise you expect, we focus on trips where our planning adds the most value.
For individual travellers, we usually look for a total booking value of at least one thousand dollars. For group trips, that minimum is five thousand dollars. These limits allow us to stay small and focused so we can prioritise the quality of your experience over the number of bookings we handle.
4. We work with you to get every detail exactly right.

Once the deposit is sorted, we get into the real work of making the plan feel like yours. This is not a case of us handing you a finished document and telling you to get on with it. We collaborate with you to finalise every single accommodation, activity, and bit of logistics. We look closely at how you move from one place to the next so you are not spending your whole holiday sitting on a train. And it is a proper back-and-forth conversation, not just us sending you updates.
We want to know if a certain hotel looks too modern for your taste, or if you would rather stay in a more traditional area even if the rooms are smaller and the floorboards creak a little. We can remove locations that do not interest you, or add in specific districts you have heard about from friends. If you want to visit a particular museum, we will be honest with you about whether it is actually worth the entry fee or just a famous name that tends to disappoint. We will tell you straight if we think a place might drag down the rest of your trip. We keep adjusting things until the plan lines up with what you actually want.
The back and forth is also how we make sure your hotel preferences and area choices are properly met. We do not just book the first place with a spare bed. We check that the location is convenient for the things you want to do, and that the local area has the kind of food and atmosphere you are after. This constant checking and adjusting is why our service takes time. We think it is better to spend an extra week getting the details right now than to have you arrive in Japan wishing something had been done differently.

5. You pay a booking deposit to lock in your trip.

Once we have both agreed on the plan and the quote, we ask for a 20% booking deposit to secure all your reservations. Unlike the planning deposit, this one is refundable, which gives you some breathing room if your plans change. This payment is what allows us to officially lock in your local guides, private transport, and any specific experiences we have discussed. We need to move fairly quickly at this stage because the best guides and most interesting activities in Japan are booked months in advance. If you wait too long, your first choice options are often just gone.
We also offer some early booking discounts if you are ready to commit. Confirm and pay your deposit within seven days of receiving the quote and we take 10% off your total trip price. If you need a little more time, booking within fourteen days still gets you 5% off.
Unfortunately, if you wait longer than that, the discounts disappear, and there is a real chance that prices will have gone up anyway. Japan is incredibly popular right now and limited availability tends to push hotel rates and transport costs higher the longer it takes you to make a decision.
6. We finalise the paperwork and your final balance.

Once your deposit is in, our team gets to work completing every single booking on your behalf. Of course, we do not just leave you guessing about what is confirmed and what is not. We send you all the necessary confirmations so you can see exactly what is locked in. We also set up a dedicated project page just for your trip, which acts as a central place where all your reservations and details live. No more digging through a hundred emails trying to find a hotel address or a tour meeting time.
The final balance for your trip is due thirty days before you travel. Settling everything a month out means we can square things with all our local partners across the country before you even pack a bag. It is a much better way to do it than scrambling at the last minute. By the time your departure date comes around, the financial side is completely done and you can just focus on the fact that you are actually going to Japan.
7. We walk you through everything and send your digital roadbook.

About a week before you fly, we have a final walkthrough call to make sure you are feeling confident and have all your questions answered before you leave for your Japan trip. We know that the days leading up to a big trip are usually a bit stressful, so we use this time to make sure you understand how everything works and that nothing has been left unclear.
As part of this call, we send over your digital roadbook. This is a lot better than carrying a bulky stack of printed papers around with you. It sits right on your phone and holds everything in one place, your daily plans, maps, and all your tickets. We also pack it with our own personal recommendations for things like coffee shops or quiet streets that we actually visit ourselves.
It is not a standard PDF either. It is an interactive guide that updates in real time throughout your stay. If a train schedule changes or a meeting point needs to shift, you see it on your device straight away. We also include emergency contact numbers and local tips so you never feel lost or alone. On top of that, we include specific instructions for the parts of Japan that are notoriously confusing to get around, because some areas genuinely are, and we would rather you spend that time enjoying yourself than staring at a map feeling frustrated.
8. We are there to help you while you are in the country.

Once you arrive in Japan, we do not just disappear and leave you to figure it out on your own. If you have an all-inclusive booking with us, on-the-ground support from our team is already included in your total price. For other types of bookings, you can choose to add this service for $75 per day.
We send you daily reminders about your schedule and help you work out the more confusing train stations. Places like Shinjuku or Umeda during rush hour can be a total nightmare, and having someone you can message for directions can save you hours of wandering around in circles. If you have allergies or dietary requirements, we help translate those too. Eating out in Japan is one of the best parts of the trip, but it can get tricky if you do not speak the language, and many restaurants are not as careful about cross-contamination as you might expect.
We also help with the spontaneous stuff. If you suddenly decide you want to book a head spa or need to change your plans because the weather has turned bad, we sort that out for you as quickly as we can. Can you arrange luggage transfer?
We can certainly arrange for your luggage to be moved between cities, though we usually recommend using the hotel concierge service for the best results. It is often simpler and much cheaper to do it that way once you are at your hotel. We help you decide which parts of the trip are worth using a luggage transfer service and when it is easier to just take your bags with you on the train.
Do you get better deals?
We have agency-only rates with most accommodation and experiences across the country. This means that while we cannot guarantee a lower price every single time, we can often find prices or room types that are not visible on the big public booking websites that everyone else uses.
Who are the guides that will be showing me around?
The guides who show you around are a mix of Japanese locals and long-term residents from other countries. The most important thing is that every single one of them speaks fluent English, so there are no communication breakdowns or confusing moments during your tours. We only work with people who actually know the areas they are showing you so you get a real sense of the local culture.
Can I make changes during the trip?
It is hard to change things like private drivers or guides at the last minute because they book up months in advance. We still offer help while you are in the country and will change your plans if we can. If you want to skip a museum or find a different place for dinner, we are here to help you work it out. Just remember that some things are impossible to move once they are booked, but we will always try to help.
